Welcome to Harmain Journey. We appreciate your trust in our services. By booking with us, you agree to abide by these Terms & Conditions, which govern your travel arrangements. Please read them carefully before proceeding.

1Agreement & Acceptance

  • By using our website or booking our services, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
  • No verbal agreements or modifications shall be valid unless confirmed in writing by an authorized representative of Harmain Journey.
  • We reserve the right to update these terms at any time. Continued use of our services after changes are made constitutes acceptance of the revised terms.

2Our Services & Responsibilities

  • Harmain Journey operates as a travel agency, facilitating Umrah, Hajj, flights, accommodations, and transportation services. We act as an intermediary between customers and service providers, including airlines, hotels, and transport companies.
  • We are responsible for arranging your travel itinerary, but we do not own or control the third-party services included in your booking.
  • Any changes or disruptions caused by airlines, hotels, or other suppliers are beyond our control, and we shall not be held liable for such occurrences.

3Booking & Payment Policy

  • All bookings are subject to availability. We advise booking well in advance to secure your preferred travel dates.
  • A deposit is required at the time of booking, and full payment must be completed before ticket issuance or travel package confirmation.
  • Failure to make timely payments may result in automatic cancellation of your booking, with applicable cancellation charges.

4Pricing & Charges

  • All prices are quoted in GBP unless otherwise stated. Prices are subject to change due to fluctuations in airline fares, hotel rates, and exchange rates.
  • We strive to provide accurate pricing, but in the event of an error, we reserve the right to correct it and notify you of any adjustments before finalizing the booking.
  • Additional charges such as visa fees, travel insurance, and local taxes are not included unless explicitly mentioned in your package.

5Travel Insurance – Highly Recommended

  • We strongly advise all travelers to purchase comprehensive travel insurance that covers: medical emergencies, flight cancellations or delays, baggage loss, and personal liability.
  • Harmain Journey shall not be responsible for any financial loss due to a lack of travel insurance.

6Amendments & Changes to Bookings

  • If you wish to make changes to your booking, you must notify us in writing as early as possible. Amendments are subject to availability and may incur additional charges.
  • Airlines and hotels may impose their own amendment fees, which the customer will be responsible for covering.
  • If a change results in an increased cost, the customer must pay the difference before the adjustment is confirmed.

7Cancellation & Refund Policy

  • More than 45 days before departure: Loss of deposit only.
  • 44 to 30 days before departure: 30% of total booking cost.
  • 29 to 15 days before departure: 50% of total booking cost.
  • 14 days or less before departure: 100% — No refund.
  • Refunds, if applicable, will be processed within 14 business days.
  • Some airline tickets and hotel reservations are non-refundable, regardless of cancellation timing.

8Responsibility & Liability

  • Harmain Journey is not liable for: flight delays, rescheduling, or cancellations by airlines.
  • Hotel overbookings, room downgrades, or service quality issues.
  • Loss of baggage, passports, or personal belongings.
  • Any injury, illness, or unforeseen incident during travel.
  • While we aim to provide accurate information, we do not take responsibility for unexpected changes in visa rules, airline policies, or government regulations.

9Visa & Travel Documentation

  • Travelers are responsible for ensuring they have a valid passport, visa, and any other necessary travel documents before departure.
  • We offer assistance with Umrah visas, but final approval is solely at the discretion of Saudi Arabian authorities.
  • Any refusal of entry due to missing or incorrect documents is the traveler's responsibility, and no refunds will be issued in such cases.

10Hajj & Umrah Regulations

  • All travelers must comply with the official regulations of Saudi Arabia for Umrah and Hajj. Failure to do so may result in fines, deportation, or a travel ban.
  • It is strictly prohibited to overstay an Umrah visa or engage in unauthorized activities while in Saudi Arabia.
  • Any penalties imposed by authorities due to non-compliance will be the sole responsibility of the traveler.

11Force Majeure (Uncontrollable Circumstances)

  • We shall not be held responsible for cancellations, delays, or changes due to force majeure events including: natural disasters (earthquakes, floods, storms), epidemics or pandemics, government-imposed travel restrictions, airline or hotel strikes, and political instability or war.
  • In such cases, refunds or rescheduling will be subject to the policies of airlines, hotels, and other service providers.

12Complaints & Dispute Resolution

  • If you encounter any issues during your journey, please inform us as soon as possible so we can assist in resolving the matter.
  • Formal complaints must be submitted in writing within 7 days of returning from your trip.
  • Disputes that cannot be resolved amicably shall be handled under the laws of England & Wales, and any legal proceedings will take place in UK courts.
